Someone has poked the iManage lion and it’s realised there are a few other predators on the plain

iManage seems to be back in the game, technically I realise it never went away but over the last month or so they seem to be on a real social media push. I mean I’ve actively been encouraged to blog about some of their new products on the horizon, those who’ve followed this blog for a few years will know just how surprising that actually is!! I’m not complaining at all, this is great news.

So this blog post is just some of my thoughts on the products they’ve had on show over the last month or so at user groups and CIO briefings.

First up the “White Rabbit project”, this has been in development for a while but is starting to near an initial rollout. What is it? Well it’s effectively a new interface for the WorkSite DMS (document management system), not a replacement for FileSite or DeskSite but a brand new web interface using responsive design, built using HTML5. So this should work as well on your PC as it will on your Mac or Android phone.

I have to say it’s pretty impressive. With an intuitive design and “in app help” it should be easy for the lawyer to pick up without too much training. As said it’s not intended to replace exisiting interfaces into WorkSite (although overtime I suspect it will replace WorkSite Web), but there will be a rolling programme to rollout some of its features into some parts of FileSite/DeskSite; the admin dialogues etc This can only be a good thing as the search, profile and security dialogues are looking a bit old fashioned and unintuitive in this day and age. There are some really well thought through amendments to viewing, this is built to facilitate better mobile experience. The document is streamed to you as you read, so on a mobile device that 500 page document won’t kill your 3G connection.

Next up the cloud is back on the agenda, can’t help think this is a response to the emergence or netdocuments and Matter Centre from Microsoft. Though I don’t see this as a transition to SaaS ala Satya Nadella’s moves at Redmond. This is more a “look we know you’ve got all these terrabytes of old archive data now, let us look after them for you” approach. At least that’s the way it seems to me at the moment. Given the success of Mimecast maybe this is a sensible move?

Finally a word on LinkSite. There was a big rush a year or so ago to be in the “dropbox” space by many vendors, unfotunately I don’t think though firms saw this as big enough of an issue to rollout out an enterprise wide solution. My personal view is that it’s such a shame LinkSite its not platform agnostic as their interface into WorkSite is excellent! It’s that “other end”, the HP cloud access, it’s a little too parochial for me, the ideal would be the LinkSite integration with SkyDrive or Box at the other end with the app support they bring across multiple platforms. Still I understand their (iManage) reasoning, because they own the whole experience they can develop something that looks so seemless. The Apple approach!

To wrap up, just a final word or two on cloud. Last month saw netdocuments announce new developments in their encryption, and today (7th July) they announced they received the International Organization for Standardization (ISO) 27001 Certification confirming NetDocuments meets or exceeds international standards for data privacy, security, and information governance practices. You’ve also got Microsoft pushing their auto encryption ability in the Office 365 Exchange email platform based on the emails content (ie if it seems personal information such as bank details it will encrpyt the message). Email and Documents are the staple ingredients of law firms and their clients, so inevitably there is still the “on premise, on premise, on premise” mantra (you only have to read the recent LinkedIn online discussion following comments in an article in the latest Legal IT Insider – page 9 comments from Farrer & Co IT director, Neil Davison), but the consumer demands of access from anywhere combined with security offered by SaaS providers surely is pointing to a cloud based future for the core functions. After all, as I said in the LinkedIn post above, “why as IT depts would we want to spent all our efforts keeping operational systems running when we could use our sparse resources on strategic projects to help grow our firms?? We’ve allowed the Iron Mountains of this world to look after our clients data for years in paper form, it’s only a matter of time before we make the shift surely”.

But I love the fact that the DMS (document management system) world is hotting up up again. It’s been a stale environment for a few too many years andso I hope the iManage developers crack on and deliver White Rabbit asap, netdocuments continue to push their product and Microsoft continue to build on Matter Centre in their 365 world. I suspect we may see at least two out of the three 😉

NetDocuments Acquires Decisiv Email Technology and Team from Recommind

Well today NetDocuments has made a move into controlling the explosion of email in law firms. Not the first to do it, but a bold move to acquire Decisiv Email from Recommind. I didn’t know too much about Recommind’s product until last summer when they (Recommind) were on a panel at ILTA, the session was titled “Predictive analytics: email management magic”. Given the challenges that email management brings in law firms (underlined by ILTA’s 2014 technology survey where it was shown as a major technology headache) the session got my interest.

The panel were mainly vendors looking at predictive technologies to try and understand the email content and context to be able to control and manage the email received, there was also a bit of “sales talk” sandwiched in between this and some good case studies.

Neil Etheridge of Recommind talked about approaches to email management and the scenarios they were best suited to, for law firms the most pertinent was:

  • Suggested filing (great for the day forward)
    • Great for matter-centric filing
    • Filling location suggested to the user
    • No training = minimal set up time

The case study in the ILTA session was from a mid sized North American law firm where Decisiv Email  was implemented, it was used to suggest likely Client/Matters, with the user then confirming or editing. They ended up with high accuracy through the combination of Recommind’s analytics and user intervention.

NetDocuments intend to rebrand Decisiv Email to be NetDocuments Email. It will be separate from NetDocuments EMS Folders and EMS Profiler. What’ll it bring? Well this section from the press release sums it up nicely:

Email continues to grow at a staggering pace and firms are struggling to incorporate, protect, file, and manage email in the document management system. The Decisiv technology will bring several key components to email management that will improve the ease of use when filing and managing email. Key features for effective email management across the firm’s matters, clients, and internal communication include:

    1. Predictive filing to the DMS – The Decisiv technology allows for robust predictive filing based on key criteria such as To, From, Cc, Subject, contents, etc. Predicted locations are visually ranked, indicating probability and enabling filing to the correct matter with just one click. Automatic filing can be enabled with a set threshold (e.g. email that reaches a 95% confidence rank or higher will be automatically filed to the predicted matter).
    2. De-duplication – Email is filed to the content management system once, regardless of how many individuals file it.
    3. Folder Mapping – Select folders in Outlook and map to the document management system. Email filed to mapped folders will be sent to the DMS.
    4. Global filing indicator – Email is visually tagged in Outlook for all internal recipients to see in their own mailboxes, indicating it has been filed to the DMS regardless of who in the firm filed it.

Now to an iManage customer with WorkSite Communications Servers and Email Management plumbed into FileSite this may not seem a massive deal, but it does bring the feature set of the two DMS products closer in terms of email management. I guess the key will be down to whose analytics engine produces the better recommendations. I presume that Decisiv Email under the Recommind guise could be plugged into iManage, so I’d be interested to hear any analytics stories in the comments from people who’ve used both?

My final thought though is one I’ve had for some time, is the DMS actually the right place for email? It’s probably too late given the volumes of email we’ll all have in our DMS’s, but I’d love someone to come up with some way of leaving the physical email in an email archiving product and the DMS hold a pointer to the physical item in the matter file. All this wrapped up in some lovely UI that was available on multiple devices with multiple apps for different use cases!

NetDocuments Secures $25 Million to Fuel Growth in the Document Management Market

So today NetDocuments announce a “strategic partnership with Frontier Capital, securing a $25 million equity investment to accelerate NetDocuments’ increasing growth across the legal market”. Interesting move from both sides, a private equity firm willing to invest heavily in Legal IT and a big investment for NetDocuments to use pushing their product forward. I understand it will be a push on the marketing and sales rather than the technology side. I guess they feel the technology is at a mature state that is ready for a big push.

As the press release says:

“This investment represents Frontier Capital’s confidence in the market and NetDocuments’ ability to accelerate the growth across the legal industry.  The boost in capital will build on a successful sales and marketing strategy that will continue to penetrate NetDocuments’ core market and exploit the robust features of a true SaaS document management service.”

I think it’s actually an exciting time for the bread and butter technology for Legal IT. Here we have NetDocuments looking to move documents into the cloud, we also have Microsoft looking to moving email and lync into the cloud with their Office365 offerings and Mimecast wanting to look after law firms vast email archives in the cloud. These are systems that don’t offer strategic value as they’re common to all firms, but they are absolutely critical services. These SaaS solutions could turn them into utility services allowing hard pressed Legal IT depts. to focus on that game changing disruptive technology that we’ve talked about.

But there is just that pesky word “risk” that comes into play. We’re edging closer but unlike the corporate world we’re not taking the plunge just yet. True, we are custodians of client data and not just users of our own data. But as law firms clients move their own data into the cloud surely the demands from clients for data control will change?

So, if you were a betting man would you bet law firms will take the plunge to an Office365 or NetDocuments? A top 10 firm in less than 2 years? 5 years? Why not take a vote on the poll on the right hand site of this page (won’t be available if you’re on the mobile site).

I put £10 in Bet Victor for the World Cup and had a few 50p’s on various matches. My balance after the final stood at £1.68, clearly I am not a betting man! But I do have a feeling that in the DMS world we could we be in for a bit of a replay of the early 2000’s DMS battles (word of caution before you all log onto Bet365, we all thought this of SharePoint a few years back!). We could do with a bit of competition, the last battle drove some real innovation in the DMS world that led to a shift from profiling to a much more user friendly matter centric DMS with DM5 & Worksite 8.

As Alvin Tedjamulia, CTO, NetDocuments said in the press release:

“We’ve seen the document management industry go through dramatic changes over the last decade and a half, and we’ve been fortunate to be at the forefront with technology that is truly challenging the status quo.”

With some developments HP iManage Worksite have on their roadmap we could be seeing the start of an innovation acceleration in DMS, picking up from my last post, maybe one that will shift us to the “third platform” in this core Legal IT technology.

Looking back on 5 years of blogging part 3 – Interwoven to Autonomy to HP

As you’d expect from a Legal IT blog I’ve posted a number of stories about the key Legal IT suppliers over the last five years. But one supplier has proved interesting due to the takeovers it’s been involved in and its almost ubiquitous coverage in law firms. That company is Netright Technologies! I’ve picked out four stories from 2009 to 2010 that take you through the Autonomy takeover.

The first post from January 2009 sets the scene nicely as it was written just as the takeover was announced. You can debate on how much came true in the comment, but I definitely got the new name right in the last paragraph! Interwoven and Autonomy – WorkSite, IDOL and iManage?

I wrote a couple of posts in February of 2009 as information became a bit clearer. The first was picking up more information via Tikit, I think this was my first lesson in the care required when blogging as my original published article had a number of release dates that Tikit had mentioned but weren’t for public exposure until the Autonomy/Interwoven deal was completely done. A quick retraction was needed. There are some worries highlighted in the post that I think in hindsight came true for many during the “Autonomy period” – News on Autonomy/Interwoven

The other February post was more an idea of mine for a simplified DMS design. However I include here just to announce that in hindsight I am rather ashamed of my last sentence! – Calling Autonomy!

Finally to wrap up the Autonomy period is a post from December 2010. Less to highlight the content specifically, more because it shows that really it took from January 2009 all the way to December 2010 to really sort things out in terms of the product and service on offer. The fact I have posted virtually nothing on the HP takeover probably indicates it was an easier and much more successful transfer. There certainly has been more development in the HP era already (LinkSite) but the remaining small concern I have is with the core worksite product, if you read the December 2010 post above the main change is only the release of v9. But it’s been over 3 years, shouldn’t we now be talking about v10?

Microsoft Project Gemini

Gemini3The name of Microsoft’s latest internal project name made me smile as this was used as an internal IT project name early in my career at our firm. The project was our first look at matter centric document management, some years I’d like to add before the big two legal DMS providers were moving this way! Four years after we implemented that system we launched a “Project Apollo” which brought a matter centric iManage WorkSite 8.x into the firm.

So what are the Microsoft “Gemini” apps? These are Microsoft’s touch optimised Windows 8 Office applications. They are rebuilding the user interface (UI) of office from the ground up to ensure it works extremely well with touch devices as well as with a traditional keyboard/mouse combo. Beyond the “Touch friendly” Office 2013, think the interface of the OneNote app in Windows 8 over OneNote bundled with Office 2013.

Now I know there are many that think Office is dead, but in my opinion these people out there with those that insisted that the Y2K bug was going to be then end of the world!  Also after a good few months running a Surface after a year or more with an iPad, I think the dual touch & keyboard/mouse approach is the way forward. The iPad is excellent for annotation or a bit of editing and there are some fantastic apps in the iOS world to help this, but it just isn’t suited for heavy duty document editing, spreadsheet work or presentation creation. This is the beauty of a Windows 8 tablet and what will be the core of “Gemini”. It still looks as though Office will also appear for the iPad at some point and for the editing use cases it will be a fine addition.

So with “Gemini” on the horizon, which legal IT providers are going to take up the baton for us and allow us to launch a “Shuttle Program” within our firm? If you’re interested here are my requirements basic requirements:

  • A touch friendly DMS (document management system) app, that works with the “Gemini” UI design and has the ability to launch into Gemini Office
  • Full integration into “Gemini Office” with the simplicity of the SkyDrive integration in Office 2013
  • A well designed user interface for email filing in “Gemini Outlook”, something like simple swipe gestures to file or a OneNote like rotary menu to access actions for filing
  • A well designed reader app (like Pocket) for the DMS to allow me to build a simple offline reading file that I can swipe to turn pages

The Microsoft “Gemini” Office apps are earmarked for summer of 2014 for Windows 8, I really hope we see some innovation from legal IT in this area next year also.

SharePoint – bogged down and out of the battle?

Back in February 2011 I wrote a post titled “Is iManage WorkSite about to be outflanked?” where I looked at two up and coming DMS (Document Management System) technologies that were looking to take iManage WorkSite’s crown as the legal DMS of choice for mid to large law firms. After 18 months I though it would be worth taking a look to see how one of those “manoeuvres” is progressing.

The SharePoint offensive.

Leading the front is Magic Circle giant Clifford Chance, their drive started back in 2010 (at least that’s when I first heard of their plans to replace legacy DM5 systems with SharePoint at ILTA 2010 in Las Vegas). A post on Legal IT Professionals this month nicely brings us up to date on how it’s going and below are some of my comments on the progress.

My first concern for any big law firm thinking of SharePoint is the length of time taken to reach the objective. The project is getting on for two years old and so far only half the firm is live (3000 staff), as an example we have recently put nearly 1000 staff onto WorkSite in a project taking a little over 6 months (the main logistics of the rollout being the last 7 weeks of the 6 months where we also replaced the desktop estate too). Yes you could argue that any new technology brings delays, but you have to weigh those up against the benefits you’re going to get. One of the main benefits touted for SharePoint is the cost savings!

The biggest concern though for me, and I think should be for any firm, is the lack of email management. Managing the volumes of email today is much more critical to firms than just the documents of the firm. Keeping an up to date electronic file with todays mobile lawyers is an essential part of any DMS. Clifford Chance say “We are still deciding how best to present email content in SharePoint”, this is two years in! As Joanna puts it in the article “So basically you don’t have and will not have for the foreseeable future one folder or site-collection with all your matter related data including knowledge, email and related documents”.

Now an interesting point is raised here, “it is not totally clear to me that a single folder for everything is going to be what people actually want” says Clifford Chance. And I agree from a technical perspective, but from a lawyers point of view I think the feel of one place for all the matter material is essential. In fact I’m starting to think that maybe the DMS isn’t the right place for email, but that is for another day/post. Regardless you still want the UI (user interface) to present you a matter folder so from a user perspective you feel all your file is together.

On current progress in legal, SharePoint doesn’t look to me to be a threat to iManage anytime soon with these two issues. However there could be one secret weapon up Microsoft’s sleeve that may turn the tide.

Office 15.

As Clifford Chance point out “firms would gravitate towards SharePoint because it integrates with everything on the desktop” and this is the key point. The user experience is becoming key, the consumer UI that Apple brought us with the iPhone and iPad and now Micorsoft are bringing with Windows 8 mean people are demanding easy to use applications. The integration of Office 15 and SharePoint could be key, as Clifford Chance say “most people like the way SharePoint looks and the way it works. It is very similar to using a Microsoft desktop at home, and it is a lot easier than learning to use a piece of additional software that keeps popping up and getting in your way all the time!”.

On this current attack though I don’t think that iManage needs to worry about being outflanked. If costs are to be believed (“said that they invested over £1 million in consultancy”) then there are few firms that can afford the cost or the luxury of a two year project. But there is the question over iManage now it’s part of HP and how it will adapt in the next few years? The battlefield is about the change considerably with Windows 8, cloud and mobile computing and it’s going to take an entirely different set of equipment to cope!

A WorkSite question – one library = one fileshare?

This blog post is a question to other legal IT teams, especially those that support Autonomy iManage’s WorkSite product. The question came to me after I re-read the post by @jbtrexler on the excellent blog electronic file 2.0.

It’s about storage underneath WorkSite and a realisation that after six years of supporting the product I’ve never really needed to get to grips with the underlying file management of the product.

The question though is simple. For a single WorkSite library or database, can I have the physical documents stored across numerous shares? So for my Matters library could I have the documents stored on a matters1 share on say one array of disks and a matters2 on another?

At some point I’ve been led to believe not, but am I wrong?

Time to sort out search in law firms

This week a couple of things cropped up to remind me of my predictions for the top 5 technologies for Legal in 2010. In particular that I had search at #4 and my thoughts on why I think next year this will be moving up the charts.

First off is my first recent experience on Autonomy iManage WorkSite 8.5 working with IDOL and using search to retrieve email out of a 30m+ document library. As I tweeted at the time it made me want to take my email out of Outlook and put it in WorkSite! The search experience was so much better than Outlook 2003 Advanced Search (although recently I’ve used Outlook 2010 and the search in that is itself so much better than 2003!).

Then on Friday night, the second thing that got me thinking about search was when my son (aged eight) found a Flipnote on his Nintendo DSi and wanted to know what the music was. I had no idea, but what happened next was an eye opener on the new generation.

I consider myself pretty tech-savvy but in this instance I was well beaten by the eight year old. First off he’d asked if he could use Shazaam, but he couldn’t wait for me to get my mobile and so he had gone to his PC, fired up Google, found the track by searching for keywords and lyrics and then found last.fm and a copy of the track. No guidance, no help from his parents, in fact I was so impressed I went and bought him the track off Amazon (which in hindsight wasn’t that clever, as it is now on a continuous playlist of one!).

The thought hit me though, that if my son was to go into law (not on his list of potential employment at all at the moment, currently being a Chef is #1) then he just won’t accept the reams of paper file or the clunky e-filing systems that require either browsing or complex search forms. No search is something he takes for granted. It’s not technology to him it’s just something, like reading and writing, that he just does.

We in Legal IT have about 10 years before these kids start arriving in law firms, think we’ll have enterprise search working by then? And for the lawyers get yourselves comfortable with search technology, as these kids won’t accept the “I don’t understand computers” argument. They’ll just look at you like you’ve just announced “I can’t read”!

Using WorkSite 8.5 with IDOL? This is for you!

If you’re an Autonomy iManage customer and you have access to the WorkSite Support portal, then there is some new content on there that will be of interest. Unfortunately there doesn’t seem to be a direct link to it from the portal home and I’m not sure I should link from here direct to the resource due to it’s customer only nature, but have a word with your Autonomy contact for a link (also if Autonomy are reading this and don’t mind pointing out the location please feel free to add it into the comments).

The new content is a number of video webinars on the IDOL worksite indexer deployment that are worth a look if you’re on or about to go to version 8.5. There is about 60+ minutes worth of flash video taking you through such topics as:

  • Indexer Deployment
  • WorkSite Indexer Components & Key Settings
  • Initial Crawl vs. Maintenance Crawl
  • How Indexing and Searching Works with Active Content
  • Plus a number of other related topics

I think it’s a great way to spread the knowledge of this new indexer and as IDOL becomes a key part of WorkSite it is a much better than the traditional training methods Interwoven (and other vendors) have previously implemented for new products.

I’ve not had time yet to watch all the videos but colleagues have and have said they’re excellent. Once I’ve had chance to watch them I’ll post what I think in the comments.

You know I never knew that! A tip for WorkSite searching in FileSite

You work with a product for years and every so often you find something new, something so obvious you probably should have known but it had escaped your notice. And that’s exactly what happened to me with iManage WorkSite last week. Finding a small feature in v8.2 to do with searching.

Basically if you use FileSite then you have the ability to use the Advanced Search in Microsoft Outlook to search your folders/workspaces.

Just simply select Advanced Search:

And then you can use the Browse to select folders etc from within the FileSite. The limitations of Outlook are the same as if you have a PST (archive file) attached, in that you can only search something in the Inbox OR FileSite but not both at once.

This feature is pretty useful for searching for emails as you can use the From: lookup to select email addresses to search for.

As far as I know this is available in v8.5 as well. That is it’s on page 28 of the User’s Guide (it probably is in the 8.2 Guide but being a techie I’ve never picked up the manual for the current version! I just dived straight in), I just haven’t used the feature in our v8.5 test environment yet.
